It is important that we are able to keep in touch and we do like to hear from members. If for any reaon you are not able to access your workplace or work email it may be important you can still contact the union. See below details on how to download the app and how to de-activate / delete the app.

1. Our Commitment to Your Privacy
NUPE is committed to protecting the privacy, safety, and dignity of our members.
This Privacy Policy explains how we collect, use, store, and protect personal information through the NUPE mobile application (“the App”).
We comply with the Privacy Act 2020, the Information Privacy Principles (IPPs), and relevant employment and union legislation.
2. What Information We Collect
We only collect information necessary to deliver union services and improve the App.
2.1 Information you provide directly

Worksite / employer

NUPE membership status

Reports or feedback you submit through the App

Forms you complete (surveys, safety concerns, bargaining feedback, etc.)
2.2 Automatically collected data

Device type and operating system

Log data relating to crashes or performance

Optional analytics (if enabled) to improve app usability
We do NOT collect:

❌ Personal device content
❌ Employment performance data
3. How We Use Your Information
We use your information for union-related purposes only, including:

Communicating with you about union matters

Providing updates, alerts, and notices

Gathering feedback to improve member advocacy

Supporting individual or collective issues you raise

Managing your membership and contact information

Ensuring the App functions safely and effectively
We will never sell or disclose your data for marketing or commercial purposes.
4. When We May Share Information
We only share information when necessary and with clear purpose. This may include:

To authorised NUPE staff and delegates to respond to your queries, concerns, or cases.
4.2 External sharing (with your consent or legal basis)

If you authorise NUPE to advocate on your behalf with your employer

If required by law (e.g., a lawful request under the Privacy Act or health/safety legislation)

With contracted service providers who support app hosting, security, or maintenance

These providers must comply with strict confidentiality and data protection requirements.

NUPE will not release information to employers without your explicit consent unless legally compelled.
5. Storage and Security of Your Information
We take security seriously and use multiple safeguards:

Encrypted data transmission (HTTPS/SSL)

Secure NZ-based or approved cloud servers

Restricted access to authorised NUPE personnel only

Password-protected internal systems

Regular audits and security reviews
If any privacy or security incident occurs, NUPE will follow its Breach Response Procedure and notify affected members as required.
6. How Long We Keep Your Information
Information is kept only as long as required for union purposes or as required by law.

Membership data: retained while you are a member and for a reasonable period afterwards (e.g., record-keeping and legal obligations).

Case or support files: kept in accordance with NUPE case management and legal requirements.

Anonymous survey data may be kept indefinitely for research and advocacy purposes.
You may request deletion of information where appropriate (see Section 8).
7. Cookies and Analytics
The App may use limited analytics tools to understand general usage patterns (e.g., screen views, crash reports).
You can disable analytics tracking in the App settings if available.
We do not use advertising cookies or third-party marketing trackers.
8. Your Rights
Under the Privacy Act 2020, you have the right to:

Request access to the personal information we hold about you

Request correction of any incorrect or outdated information

Ask about how your information has been used or shared

Request deletion of data (where legally appropriate)

9. Children and Young People
The NUPE App is intended for adult members or staff in workplaces where NUPE operates.
We do not knowingly collect information from individuals under 16 without consent.
10. Updates to This Policy
We may update this Privacy Policy from time to time.
Any significant changes will be communicated via:

Email or member update channels
The updated policy will always include a revised “Effective Date”.
